Description and Scope of Data Processing
Each time our website is accessed, our system automatically collects data and information from the accessing computer. The following data is collected:
- Information about the browser type and version used
- Language and version of the browser software
- The user’s operating system
- The user’s IP address
- Date and time of access
- Volume of data transferred
- Websites from which the user’s system accessed our website (referrer)
- Access status / HTTP status code
This data is stored in the log files of our system.
Hosting: This website is hosted on servers operated by Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany. The aforementioned server log files are processed as part of the hosting service. A data processing agreement pursuant to Art. 28 GDPR has been concluded with Hetzner. Legal Basis
The legal basis for the temporary storage of data and log files is the legitimate interest of Schwarzwald Super! e.V. (Art. 6(1)(f) GDPR).
Purpose of Data Processing
The temporary storage of the IP address by the system is necessary to enable the delivery of the website to the user’s device. For this purpose, the user’s IP address must be stored for the duration of the session.
Storage in log files is carried out to ensure the functionality of the website. The data also serves to optimise the website and to ensure the security of our information technology systems. The data is not evaluated for marketing purposes in this context.
These purposes also constitute our legitimate interest in data processing pursuant to Art. 6(1)(f) GDPR.
Cookies
This website currently does not set any cookies. Our web analytics service GoatCounter operates entirely without cookies. No cookies are set when using our forms (contact, newsletter) either.
We reserve the right to use technically necessary cookies in the future (e.g. for cookie consent or session management). In such a case, we will inform you before setting such cookies and, where required, obtain your consent.
You can manage or block cookies at any time in your browser settings.
Web Analytics (GoatCounter)
We use GoatCounter, a privacy-friendly web analytics service. GoatCounter does not set any cookies and does not create personal user profiles.
Data collected: Page views, scroll depth (anonymised), clicks on certain form actions. IP addresses are hashed by GoatCounter and are not stored in plain text.
Legal basis: Legitimate interest in analysing website usage (Art. 6(1)(f) GDPR).
Opt-out: If your browser sends the "Do-Not-Track" signal, GoatCounter will not collect any data.

Newsletter
Purpose
The email address you provide will be processed by Schwarzwald Super! e.V. for the purpose of sending the subscribed newsletter.
Newsletter registration uses a double opt-in process: after entering your email address, you will receive a confirmation email containing a unique confirmation link (valid for 48 hours). Only after clicking this link will your email address be added to our mailing list. Confirmation tokens are stored exclusively in our server’s working memory on a temporary basis and are automatically deleted upon expiry.
Legal Basis
The processing of your email address is based on your consent pursuant to Art. 6(1)(a) GDPR. You have the right to withdraw your consent at any time free of charge. To withdraw your consent, please click the unsubscribe link in the respective newsletter or contact Schwarzwald Super! e.V. (contact details above).
After unsubscribing from the newsletter, your declaration of consent will continue to be stored on the basis of legitimate interests (Art. 6(1)(f) GDPR). The legitimate interests of Schwarzwald Super! e.V. consist in the necessary documentation of your consent for evidentiary purposes.
Storage / Deletion
Your unsubscription from the newsletter is automatically recorded in the newsletter database. This entry ensures that you will no longer receive any further newsletters from the time of your unsubscription. Final deletion of your data takes place within three months from the date of your unsubscription, unless statutory retention obligations prevent deletion.
Recipients
For sending newsletter emails, we use the service Mailjet SAS, 13-13bis Rue de l’Aubrac, 75012 Paris, France (Sinch Group). A data processing agreement pursuant to Art. 28 GDPR has been concluded with Mailjet. Contact Enquiries via Form or Email
Purpose
When you contact us via the contact form or email, we collect and process your name, your email address and the subject of your enquiry. The purpose of data processing is to respond to your contact request.
Legal Basis
Data processing is based on the legitimate interest of Schwarzwald Super! e.V. in communicating with website users (Art. 6(1)(f) GDPR).
Storage / Deletion
Schwarzwald Super! e.V. will delete or anonymise your personal data as soon as it is no longer required for the purposes for which it was collected and processed, and provided that no other legal obligations require further storage.
Recipients
For forwarding contact form messages, we use the service Mailjet SAS, 13-13bis Rue de l’Aubrac, 75012 Paris, France (Sinch Group). As part of the contact form, your name, email address and message are transmitted to Mailjet for forwarding. Further information: Mailjet Privacy Policy.
Spam and Bot Protection
Our forms use technical protective measures against automated access (so-called honeypot fields and timestamp validation). No personal data is collected or stored in this process. Legal basis: Legitimate interest in preventing misuse (Art. 6(1)(f) GDPR).
Registration and Ticket Purchase (pretix)
For event registration and ticket purchase, we embed features and content from the service pretix, provided by pretix GmbH, Berthold-Mogel-Straße 1, 69126 Heidelberg, Germany, on our registration pages. Part of this is our ticket shop, which is included through a JavaScript widget. If you try to purchase a ticket, pretix will use a technically necessary cookie to make your purchase process possible and to remember which tickets are in your cart. This cookie will only be set once you start interacting with the pretix widget. pretix does not store any IP addresses, browser information or other unnecessary meta data beyond the timeframe of your transaction.
Personal data entered during the ticket purchase (e.g. name, email address, postal address, payment data) is processed by pretix as an independent controller or data processor.
Legal basis: Performance of a contract (Art. 6(1)(b) GDPR) and technically necessary cookies (§ 25(2) no. 2 TTDSG).

Event Photos

Recipients and Data Processors
To provide our services, we work with the following service providers with whom data processing agreements pursuant to Art. 28 GDPR have been concluded:
- Hetzner Online GmbH (Hosting, server infrastructure) — Germany
- Mailjet SAS (Email delivery: newsletter and contact form) — France

No data is transferred to third countries outside the EU/EEA.
Storage Duration
Server Log Files
Server log files are stored for a maximum of 30 days and then automatically deleted.
Participants with Ticket Purchase
In the event of a ticket purchase, data is stored for the purpose of carrying out the event and deleted after the expiry of tax and commercial law retention periods (typically 10 years for payment records).
Your Rights in Connection with Data Processing
The General Data Protection Regulation (EU Regulation 2016/679) grants you certain rights as a data subject, which we outline below.
Withdrawal of Consent
In the event that Schwarzwald Super! e.V. stores and processes personal data on the basis of your consent, you are entitled to withdraw your consent at any time. However, this does not affect the lawfulness of the processing carried out prior to the withdrawal.
Right of Access
You may request information about the origin, categories, storage duration, recipients, purpose and manner of processing of personal data held about you by Schwarzwald Super! e.V.
Right to Rectification and Erasure
If Schwarzwald Super! e.V. processes data about you that is inaccurate or incomplete, you may request its rectification or completion. You may also request the erasure of unlawfully processed data.
